Terms & Conditions for Exclusive Use & Group Bookings

Bookings and Payments

To confirm the reservation, we require a 30% non-refundable, non-transferable deposit. We require your final numbers, if they are above 14, when your balance payment is due 8 weeks prior to your arrival date, where the total amount becomes non-refundable.

Confirmation of the booking will be given upon receipt of the deposit. Bookings at premium times may require payment in full at the time of booking. Bookings are accepted on the understanding that the terms and conditions will be observed in full.


We do not provide holiday cancellation insurance; we strongly recommend that you take out your own holiday insurance cover. Deposits taken are non-refundable and non-transferable. If the cancellation is 8 weeks or more prior to your stay, you are not liable for the full payment however you lose your 30% deposit. If the cancellation is less than 8 weeks prior to your stay, you will still be liable for the full payment of your balance at the 8 week point.

Cancellation by Ourselves

In the unlikely event that The Yan becomes unavailable, due to reasons beyond our control, we will endeavour to find an alternative suitable solution on Broadrayne Farm. We shall not be under any other liability.

Acceptance of Bookings

The booking is accepted only on the understanding that no more than the number of people declared on the booking shall stay. We reserve the right to refuse or curtail any booking where it subsequently transpires that information has been withheld from us, either by numbers in the party or its composition.

Exclusive Use

Our definition of “Exclusive Use” means you have full use of all our bedrooms and lounge area, if pre-arranged and a selection of one of our exclusive use catering packages for the duration of your stay.  The Café/Bistro area is not included in exclusive use and meals should be taken as normal.

Car Parking

There is one parking space available per room booked. Extra parking spaces, if available, need to be pre-arranged and booked prior to your visit for a small additional fee. Alternative offsite parking can be found in a lay-by 100m to the north of us.


Pets are only permitted to stay in allocated bedrooms with our express permission prior to booking, for a small additional fee. Pets must be on a lead at all times when in The Yan building and around the farm and drive. Pets must not be left unattended in The Yan, under any circumstances or left in vehicles on site at any time. Pets are not allowed on any furniture. Pet owners are responsible for ensuring that their pets do not foul the property or its surroundings. Charges will apply for additional cleaning. Pet owners must clean up after their pet around the farm.

Food and Drinks

As we are a licenced premise you can only consume alcohol purchased at The Yan and must not consume your own anywhere within our premises. Only food purchased at The Yan can be consumed within our premises and on the farm. 

Departure Times

All bedrooms should be vacated before 10am on the day of your departure. Late departures fees will be charged. Keys/cards should be returned to the café reception on departure (£5 charge for lost keys)


If a reason for complaint should arise on arrival or during your stay, you must contact us as soon as the problem arises, in order for us to rectify the complaint. No complaints will be considered after the completion of your stay, if they were not brought to our attention during your stay.


All items broken or damaged must be reported to us, as soon as possible. We reserve the right to charge for breakages, damage and extra cleaning, with a minimum fee of £20, which will cover replacement/repair costs. Larger items will be charged at replacement or repair costs, plus a £20 administration fee.
