Terms and conditions

Bookings and payments

To confirm the reservation, we require a non-refundable, non-transferable deposit to the value of the first night’s stay for The Yan hotel. For our Glamping pods and Cottages the deposit value is 30% of your total cost of stay.
Balance is payable on arrival for The Yan hotel.

Bookings made after the 7th of May 2023:
To confirm the reservation, we require a non-refundable, non-transferable deposit to the value of 40% of your total cost of stay for The Yan hotel, Glamping pods and Cottages with the balance payable 8 weeks before your arrival date.


If you are to book accommodation with less than 8 weeks to the arrival date, then the full balance will be required upon booking.

Confirmation of the booking will be given upon receipt of the deposit.

Bookings are accepted on the understanding that the terms and conditions will be observed in full.

Late arrivals or early departures incur 100% loss of the total cost of your stay and no refunds will be given.

Guests

Guests must take good care of the accommodation, keep it clean and tidy throughout their stay and leave it clean and tidy upon their departure.

No ball games can be played on the farm, including the carpark areas.

Guests must not climb any walls or gates.

The lead guest occupant must be over 18 years old and the ages of any member of the party under the age of 18 must be accurately disclosed

Cancellation by yourself

We do not provide holiday cancellation insurance; we strongly recommend that you take out your own holiday insurance cover. If you must cancel your stay, you will need to notify us immediately in writing. Cancellation, for any reason, with less than 2 weeks for The Yan Hotel or 8 weeks for our Glamping Pods and Cottages, prior to arrival, no show or change to number of persons incurs 100% loss of the total cost of your stay, with the balance payable on cancellation. Cancellation is confirmed once payment is received. For cancellations over two weeks for The Yan Hotel or over 8 weeks for our Glamping Pods and Cottages, you will receive a refund of monies, not including the 40% non-refundable deposit.

We shall seek to relet your accommodation at the best possible price, but not necessarily at the advertised web site price. If the accommodation is relet in total, monies received by us, less an admin charge, will be returned to you, including your non-refundable deposit.

For the avoidance of doubt your booking with us is not conditional upon, or associated with, any other event* that you may have also booked to attend whilst staying with us. If that event is cancelled or postponed and consequently you wish to cancel your booking with us (in circumstances where our accommodation is still open and available to take your booking) then our normal cancellation policy will apply, as detailed above.

Cancellation by Ourselves

In the unlikely event that our accommodation becomes unavailable, due to reasons beyond our control, we will endeavour to find an alternative suitable solution at The Yan at Broadrayne Farm. We shall not be under any other liability.

Covid – 19, applicable to bookings made after 10th May 2020.

If we are forced to close due to the government lockdown then we will issue a refund for the balance payment and a voucher equivalent to your initial non-refundable deposit, enabling you to make another booking within 12 months of your original stay. However, this does not apply if we are open and unfortunately you are unable to visit, due to your local government restrictions and/or your personal circumstances. If this concerns you, then we suggest that you refrain from making a booking too far in advance and wait until nearer the time of your proposed stay, in order to see what restrictions you are under. These types of cancellations will be treated the same as the paragraph above "Cancellation by Yourself"

 Acceptance of bookings and additional people

Bookings are accepted only on the understanding that no more than the number of people declared on the booking shall stay. Babies (not yet walking at the point of stay) are free of charge but we do recommend you book a deluxe room or larger cottage for the additional space of a travel cot.  Infants, toddlers, and children are classed as additional people. Children (16 and under) are not allowed to sleep in accommodation without a responsible adult present in the same accommodation.

As The Yan is a small establishment, we do not accept bookings of more than 3 accommodation types (i.e rooms/pods/cottages) or group bookings. We find larger groups, although not intentionally, tend to dominate our small hotel and this doesn’t reflect well with other guests visiting at the same time.

All accommodation is offered only on the understanding that no more than the maximum number of people, as indicated (irrespective of age), shall occupy it for the duration of the booking.

We reserve the right to refuse or curtail any booking where it subsequently transpires that information has been withheld from us either by numbers in the party or its composition. No refunds will be made.

Festive bookings require a 40% deposit to confirm the booking with the balance payable 8 weeks before your arrival.

Promotions will be valid for new bookings only and cannot be added to retrospective bookings.

Refunds

Any refunds due will be done using the same means of payment, as the one used for your original transaction.

Dinner, bed and breakfast packages

Our dinner, bed and breakfast packages include any dishes from our menu, your breakfast includes one main breakfast dish, one tea or coffee and one orange juice. Your evening meal includes a starter, main and pud per person, any additional sides or additional dishes will be charged. No options of this package are swappable. Sharing boards are for two people. Child occupants have the choice of dishes from the children's menu.

Food and Drinks

Only food and drink, including alcohol, purchased from The Yan can be consumed in the The Yan Hotel rooms, communal areas, Bistro and the outside seating areas of the bistro. A corkage fee will be charged if these conditions of booking are not followed.

Car parking

Parking is limited on the farm, there is one parking space available per room booked, although we cannot guarantee parking on site. Extra parking spaces, if available, need to be pre-arranged and booked prior to your visit for a small additional fee. Bistro parking is run on a "first come first used basis", available for the duration of your meal only and cannot be reserved in advance. Alternative offsite parking can be found in a lay-by 100m to the North of us. Unfortunately, we cannot accommodate motorhomes in our small carpark.
Our cottages and glamping pods have a designated car parking space, information for this will be given in your pre-arrival email received 7 days prior to your arrival date.

Arrival and departures

Check in is available from 3pm for The Yan Hotel, Glamping Pods, and Holiday Cottages.

Your accommodation must be vacated before 10:00am on your departure day. Late departure fees will be charged. Lost keys incur a £10 charge.

Pets

Dogs are permitted to stay in designated dog friendly accommodation with our express permission prior to booking, for a small additional fee.

Both Glamping Pods, certain Yan rooms and certain cottages, are not allowed dogs in, under any circumstances. Please check prior to booking, if you are unsure.

Only one dog per bedroom in The Yan hotel is allowed in our dog friendly rooms.

Dogs must be on a lead at all times (with owners attached to the other end…yes, we have had this 🙂) when anywhere on the farm and drive.

Dogs must not be left unattended, under any circumstance or left in vehicles on site at any time.

Dog owners are responsible for ensuring that their pets do not foul the property or its surroundings.

Dogs are not allowed on any furniture, at anytime. Additional cleaning charges will apply if it transpires that pet owners have allowed their dog onto furniture in any accommodation type.

Dog owners must clean up after their pet around the farm and dispose of it in the general waste bins on the farm.

Complaints

If a reason for complaint should arise on arrival or during your stay, you must contact us as soon as the problem arises, in order for us to rectify the complaint. No complaints will be considered after the completion of your stay, if they were not brought to our attention during your stay.

Damage

All items broken or damaged must be reported to us, as soon as possible. We reserve the right to charge for breakages, damage and extra cleaning, with a minimum fee of £20, which will cover replacement/repair costs. Larger items will be charged at replacement or repair costs, plus a £20 administration fee.

Smoking policy

The Yan at Broadrayne is strictly a no-smoking/vaping establishment. Guests wishing to smoke/vape are requested to do so outside, away from doorways and dispose of cigarette butts in the outside dustbins provided. Please note that guests not complying with this will be asked to leave the farm immediately and no refunds will be given. Guests will also be liable for a deep cleaning charge and loss of business fee.

Lost property

We regret that we cannot accept responsibility for any lost property left behind at the end of your stay. Whilst we will make every reasonable effort to return lost property this will only be done on receipt of a minimum payment of £10 to cover the cost of packaging and registered post. Any larger items will be charged at the postage rate plus a £5 packaging and handling charge.

Gift Vouchers

Gift vouchers can be used towards all self-catered properties, glamping pods, hotel and the bistro on Broadrayne Farm.

Minimum voucher value is £20 and goes up in multiples of £10.

The voucher is valid for 12 months from the date of purchase, which will be stated on the voucher.

If the voucher is used towards holiday properties (self catered and hotel) then the stay needs to also be within 12 months of the date of voucher purchase.

Vouchers cannot be replaced if lost, stolen or destroyed.

Vouchers cannot be refunded, exchanged for cash, change given, if less than the payment requested on the day of use, and cannot be used to purchase new gift vouchers.

Vouchers cannot be used in conjunction with any special promotions or discounts.

Vouchers cannot be sold to any third parties without our consent. If we do give our consent then such consent may be subject to any conditions which we impose. In any event you may not sell the Vouchers through the internet without our express written consent, which you must obtain before making any such sale. We reserve the right at all times to refuse to permit any sale of Vouchers by you to a third party.

Bistro Guests

We currently do not accept bookings online of more than 6 people. We can however cater to a group of up to 14, this will need to be booked directly with a member of the team either on the phone or via email. These bookings will require a deposit of £15 per head to secure the reservation. This is non refundable within a week of your reservation, if you were to cancel the table or reduce your numbers, the deposit for each guest would be forfeit.

For all other reservations, we require your debit/credit card details to confirm your booking. These will be held in a secure PCI-DSS compliant vault.

For tables of 4 or below, if your table is cancelled within 24hrs of your reservation or numbers reduced, you will be charged the cancellation fee of £15 per head (£5 per head for a breakfast booking).

For tables of 5 and over, if your table is cancelled within 48 hours or numbers reduced, you will be charged a cancellation fee of £15 per person (£5 per head for a breakfast booking).

Unfortunately, our experience of parties failing to cancel or amend bookings dictates this precaution is now necessary.

Pre ordering your meal is essential for tables of 5 and above. For groups of 5 or 6 we ask for your pre-order at least 24 hours before your reservation. For groups of 7 and above, we will require a pre-order 7 days before your reservation. If we do not receive your pre-order, your table will be cancelled and a cancellation fee of £15 a head will be applied. If you cancel on the day of your booking, after you have pre ordered, then all your pre order value will be forfeited.

For reservations of our special occasion meals, set menus, New Year, Christmas etc a deposit of £20 per person is required to confirm the booking. Cancellation prior to your reservation deems the deposit non-refundable unless the table is re-sold on your behalf. 

We ask that you please arrive on time for your reservation. If you are more than 15 minutes late, we reserve the right to cancel your table, no refund will be issued and the above cancellation fee will be applied. 

Dogs are allowed in the Bistro, as long as they are on a lead and under control at all times. We ask that you let us know in advance if you plan to bring a dog with you, so we can ensure you are on a suitable table.
